Sign Out Procedure

  • All requests for audio/visual equipment must be directed to the IT Help Desk at least 48 hours before required usage. If there are extenuating circumstances that do not allow 48 hours notice, we will make an effort to provide the requested equipment, but cannot guarantee availability.
  • All requests must be submitted to the IT Help Desk: HelpDesk@olin.edu
  • Requests will be granted on a first come, first served basis. An AV lending form must be completed and signed by the authorized individual picking up the equipment.
  • All audio/visual equipment is to be picked up from the IT Help Desk. Equipment needs to be picked up by the individual who requested the equipment or by another member of the Olin Community that has been authorized to pick it up by the requester.

Purpose

To provide the Olin College community the opportunity to sign out audio/visual equipment which is to be used solely for Olin College related activities such as meetings, events, class projects, etc.

Audio/Visual Equipment

The following list of audio/visual equipment is available to be signed out for community use by all members of the Olin community including Faculty, Students, and Staff.

  • Digital Still Camera
  • Digital Video Camera
  • Shotgun Microphone
  • Condenser Microphone
  • DVD player
  • Laptop Computer
  • Portable Projection Screen
  • Portable PA System
  • Slide Projector
  • Overhead Projector
  • Document Camera
  • Television on cart

Sign Out Terms and Conditions

  • Any person who is signing out audio/visual equipment will be required to sign a lending form, agreeing to abide by the terms and conditions for signing out the equipment. The date and time the equipment must be returned will also be on the form;
  • Extensions for signing out equipment will only be granted if the equipment has not been requested by another party for any part of the extension and if the borrower signs an updated lending form indicating the amended return date;
  • AV loaner laptops may be borrowed for an amount of time to be determined by the AV Technician based on availability;
  • All audio/visual equipment must be returned to the IT Help Desk before the department closes. The lending form will be signed and dated upon return of the equipment;
  • No audio/visual equipment shall be altered or tampered with by anyone in any way. Any required maintenance to the audio/visual equipment should be reported as soon as possible to the IT Help Desk. As indicated on the lending form, it is the responsibility of the borrower to pay for any damage to the lent equipment (as opposed to wear and tear maintenance);
  • Failure to abide by these terms and conditions, including the return date and time will result in an evaluation of sign-out privileges.
