HOW TO SCHEDULE A ROOM

  1. Point your browser to PhoenixNet (https://my.olin.edu) and login using your network credentials.
  2. Under the Campus Life section of the Web site, click on the Click here to access Ad Astra link on the Reserve a space… section.
  3. Select desired option in the lefthand column:
    • Schedules - to view events, classes, exams (these are checkbox choices at the top of the screen).
    • Clicking on the column headings such as Name or Room will sort the list by those parameters.
  • Request Events - to reserve a room for an event.
    1. Fill out the form.
      1. All information with a red * is required for the request to be processed.
    2. Click continue.
      1. You will be asked to select single day, recurring, or spanning for the event type. Read the descriptions on the screen and then click on your choice.
    3. Fill in the fields and click on Submit.
    4. A response will be sent to your Olin e-mail account.
    5. Since we are currently using group logins, please make sure your contact information is correct in the form.
  • View Rooms - to see rooms and room types. Select the building and you will see a list of rooms along with their capacity and features (photos coming soon). This will assist you in preparing the event requests.
  • LOGOUT after you have completed your requests

Please be considerate of others using these rooms and allow additional time for clean-up/set-up.

:!: You must notify Public Safety if your event is after business hours (5555)

  • If you need access (after hours - keys/alarms), email buildingaccess@olin.edu
  • If you need set-up/HVAC (i.e. tables and chairs, heat/ac), email workorder@olin.edu.
  • If you need media equipment, email av@olin.edu.
  • If you need catering, email catering@olin.edu.
